The Administrator/Assistant - Customer Service is responsible for providing administrative support to ensure the efficient operation of the office, while also performing customer service-related duties. This role supports managers and employees through a variety of organizational, coordination, and communication tasks.

You Must be able to:

Administrative Duties:

** Answer and direct incoming phone calls
** Handle daily office administrative tasks, including filing, queries, and meeting arrangements
** Maintain the reception desk; greet and assist visitors professionally
** Prepare, write, and distribute emails, correspondence, letters, faxes, and forms to managers and employees
** Plan, organize, and schedule appointments and meetings as requested
** Assist managers and employees with business trips and travel arrangements
** Manage and order office supplies as needed
** Operate general office equipment, including computers, scanners, phone systems, and copiers
** Schedule and coordinate company cars in Poti & Batumi, including maintenance and insurance, in coordination with the Administrative Assistant in Tbilisi

Customer Service Duties

** Support the Customer Service team, clients, terminals, and ports by providing required information for shipments.
** Communicate with Port of Loading agencies and clients regarding ongoing and upcoming shipments.
** Provide status updates and generate specific reports for various shipments.
** Enter container information and shipment conditions into internal software systems.
** Coordinate with other offices of the agency and provide relevant documentation as requested.
** Provide clients with any additional documentation related to the procedures mentioned above.
** Offer customer service support as needed.

Skills & Qualifications:

** Strong prioritization and organizational skills
** High attention to detail
** Good negotiation skills
** Strong sense of responsibility
** Excellent communication and multitasking abilities
** A team-oriented, results-driven mindset
** Fluency in Georgian and English (spoken Russian is an advantage)
** Proficiency in MS Office applications
