We are looking for a proactive and detail-oriented Administrative Specialist to join our team. In this role, you will be the welcoming face and first point of contact for all our guests and clients. You will play a key role in supporting daily office operations and ensuring a seamless, professional experience for everyone.
Key Responsibilities:
** Warmly greet and assist guests, providing a professional and welcoming reception experience.
** Answer, screen, and direct phone calls and emails with professionalism.
** Manage the scheduling and preparation of meeting venues, conference rooms, and event spaces.
** Assist with scheduling and coordinating meetings for management.
** Oversee monthly office supply orders and maintain a clean and organized reception area.
** Monitor and distribute incoming correspondence, ensuring timely uploads and proper distribution.
** Assist with various operational tasks that enhance company-wide efficiency.
** Collaborate with different departments to support seamless daily operations.
Requirements:
** Minimum B2 level of English (spoken and written).
** Previous experience in an administrative or receptionist role is a significant advantage.
** Organizational and multitasking skills.
** Outstanding communication and interpersonal abilities.
** Proficiency in MS Office (Word, Outlook).
** A customer-oriented mindset.
