Reports To: General Manager / Dealer Principal
Location: Tbilisi, Georgia
Employment Type: Full-Time -Monday to Saturday - 10:00 - 18:00
Position Summary
The Office Manager is responsible for managing the daily administrative, operational, communication, and office support functions of the dealership to ensure smooth business operations. This role oversees office administration, customer communication, documentation, reporting, coordination between departments, office supplies, vendor management, scheduling, and general support activities while ensuring excellent customer service and efficient workflow across all dealership departments including Sales, After-Sales, Service, Finance, and Management.
The Office Manager acts as the central coordination point of the dealership office and ensures all administrative processes are completed accurately and on time.
Key Responsibilities
Office Administration & Operations
** Manage daily office activities and administrative workflow.
** Maintain office supplies, equipment, records, and filing systems.
** Coordinate office maintenance, courier services, and vendor support.
** Ensure office organization, cleanliness, and operational readiness.
Communication & Customer Support
** Answer, screen, and forward calls.
** Manage emails, shared inboxes, and correspondence.
** Respond to customer inquiries and welcome visitors.
** Coordinate communication with customers, suppliers, and partners.
Scheduling & Coordination
** Manage calendars, appointments, meetings, and travel arrangements.
** Organize meeting logistics and prepare agendas and minutes.
** Coordinate internal meetings, interviews, and trainings.
Documentation & Reporting
** Maintain contracts, reports, records, and dealership documentation.
** Track incoming/outgoing documents and ensure confidentiality.
** Prepare weekly and monthly administrative reports.
HR & Operations Support
** Support onboarding, employee records, attendance, and trainings.
** Coordinate communication between departments.
** Support dealership events, vehicle handovers, and operational activities.
Vendor & Compliance Management
** Liaise with suppliers and service providers.
** Track office expenses, invoices, and service agreements.
** Ensure compliance with company procedures and documentation standards.
Daily Tasks

Qualifications
** Bachelor`s degree in Business Administration, Management, Hospitality, or related field.
** 3-5 years of experience in office administration or operations.
** Automotive / dealership experience preferred.
** Strong communication, organizational, and multitasking skills.
** Proficiency in MS Office; ERP / DMS knowledge is an advantage.
