Based in Tbilisi (fixed-term contract of 12 months)

About us:

The International Committee of the Red Cross (ICRC) is a Geneva-based humanitarian organization that protects and assists victims of armed conflicts and other situations of violence without discrimination. It has been providing humanitarian aid in Georgia for more than 30 years.

We currently have a vacancy for a full-time Welcome/Admin Officer, ideally starting in March 2026, with a fixed-term contract of 12 months.

Purpose:

The Welcome/Admin Officer is responsible for providing full administrative support to the delegation and substructures, establish good functioning of the delegation information flow. Ensuring smooth operation of the reception and Welcome activities, including coordination of pick-up/drop-off of ICRC staff and guests, travel arrangements, visas and permits, official registration and accommodation.

** Accountabilities & Functional responsibilities Welcome Officer (60%)
** Coordinate onboarding, arrivals, departures, travel, and accommodation for delegates and visitors.
** Serve as a focal point for welcome-related enquiries and provide practical guidance.
** Coordinate visas, permits, Verbal Notes, and liaise with embassies and relevant authorities.
** Track staff and visitor movements and maintain welcome databases and files.
** Remain reachable outside working hours for exceptional situations.
** Collect feedback and contribute to continuous improvement of welcome services.
** Administrational /Secretarial tasks (40%)
** Ensure smooth reception operations and visitor support.
** Manage correspondence, mail, and documentation in line with information management guidelines.
** Support premises and office management, including coordination with service providers.
** Assist with invoicing, procurement follow-up, and premises-related administrative tasks.
** Translate admin related documents in English/Georgian and visa-versa.

Additional duties:

** Collaborate across ICRC sites, provide updates to the line manager, and support other departments as required.
** Represent the ICRC professionally and contribute to a positive organizational image.
** Collecting and sharing information to improve the ICRC`s understanding of the environment and humanitarian trends and responses

People management responsibilities:

** Certifications / Education required
** Bachelor`s degree in Business Administration, Hospitality Management, International Relations or a related field.
** Computer proficiency

Additional Competencies:

** Ability to collaborate effectively with internal and external stakeholders.
** Cultural sensitivity and understanding of humanitarian principles.
** Ability to analyze problems, identify root causes, and propose practical solutions.
** Proficient use of office tools to support administrative, coordination, and reporting tasks.
** Professional Experience required
** 2 years` experience in a similar field

Languages:

** Fluency in Georgian and English languages (written and orally)

Data transfer:

We do not share personal data or application information with anyone outside the ICRC, except in the case that your application is of interest to the ICRC and you are either a national or a permanent resident of one of the countries listed below. In such a case, we may transfer* your personal data to the National Red Cross Society of your country of nationality or residence, who will process your application.
If successful, you may then be employed by that National Society and seconded to the ICRC for an assignment to its operations.

Countries of nationality or residence concerned: Australia, Canada, Denmark, Finland, Ireland, Iceland, Japan, the Netherlands, New Zealand, Norway, Sweden, and United Kingdom.
*Therefore, if you fall under this category, by providing your data to the ICRC, you acknowledge the possibility of the transfer of your application file to the National Society of your country of nationality or permanent residence.
