Myway Airlines is pleased to announce an opening for the position of Administration Assistant.
Location: Georgia, Tbilisi Hualing Plaza
Employment Type:Full-time 10:00 18:00
1. Travel, Accommodation, and Visa Arrangements:
** Book all company-approved airline tickets, hotels, and transportation for employees;
** Apply for crew allowances in compliance with the subsidy standards and regulations set by the Ministry of Finance of Georgia;
** Maintain and update travel arrangements and related expense records;
** Coordinate with HR to record employee attendance and business travel based on ticket information, ensuring accuracy;
** Handle employee visa applications and related matters.
2. General Administrative Support:
** Manage daily office facilities, including office supplies, logistics, and vehicle allocation;
** Organize company meetings, training sessions, and large-scale events;
** Maintain the office environment, including security and cleaning services.
3. Documentation and Filing:
** Collect, organize, and archive documents related to travel, accommodation, allowances, and office expenditures;
** Prepare administrative reports and documents for management review;
** Ensure all documentation is complete, standardized, and easily accessible.
4. Communication and Coordination:
** Maintain regular communication with hotels to follow up on bookings and services;
** Coordinate administrative matters across departments.
5. Finance and Reimbursement Support:
** Verify and process employee reimbursement requests;
** Maintain administrative and travel expense records, and cooperate with the Finance Department for reconciliation;
** Monitor administrative and travel expenses to support cost control;
** Prepare and submit payment applications for all relevant payables to ensure timely and accurate payments.
6. Other Responsibilities:
** Carry out other administrative tasks assigned by the Administration Manager or senior management;
** Improve office software skills, especially Excel, for data processing and report preparation.
