At present, ibis Styles Old Tbilisi is announcing a job opening for: Corporate Sales Coordinator Position.

Job Scope

The Proactive-Reactive Corporate Sales Coordinator is responsible for managing, coordinating, and converting both inbound (reactive) and outbound (proactive) corporate and group sales opportunities. This hybrid role supports the sales team in meeting revenue goals for rooms, banquets, meetings, and group events through superior customer service, timely follow-ups, and effective communication with internal departments and clients. The role requires a high level of organization, sales acumen, and the ability to juggle multiple priorities in a dynamic hospitality environment

Main responsibilities:

Sales Support & Coordination

** Serve as the key contact for group bookings, MICE, corporate, tour operator, and ad-hoc requests.
** Prepare and send customized proposals, contracts, and follow-ups within 24 hours in accordance with brand standards.
** Maintain accurate and up-to-date client records, sales databases, and booking details in systems such as Opera Cloud, Excel trackers, and CRM platforms.
** Handle all inbound group and event-related inquiries via phone, email, and in person using a customer-focused approach.
** Proactively identify new leads, follow up on lost business, and share qualified leads with the wider sales team.
** Prepare detailed Banquet Event Orders (BEOs), function sheets, and communication memos to relevant departments.

Client & Event Management

** Coordinate pre-event planning, group arrivals and departures, rooming lists, and post-event follow-up for repeat business.
** Liaise with operations, F&B, front office, housekeeping, and finance to ensure seamless event execution and guest satisfaction.
** Monitor group blocks, deposits, deadlines, and attrition to optimize hotel occupancy and revenue.
** Maintain strong relationships with corporate clients, agencies, and tour operators to ensure loyalty and ongoing partnerships.
** Handle guest and client complaints promptly and escalate to Sales Manager or DOSM when necessary.

Sales Operations & Reporting

** Support Account Managers by arranging meetings, demos, client visits, and market research.
** Conduct competitive analysis and contribute market intelligence to strengthen pricing and positioning strategies.
** Create regular reports on group forecasts, conversion rates, sales activity, lost business, and booking pace.
** Participate in weekly sales and operations meetings, and represent the property at trade shows or sales trips when assigned.

Administrative & System Responsibilities

** Ensure all reservations, correspondence, and contracts are filed systematically for easy retrieval.
** Guarantee data integrity and compliance with brand standards for all client records, room blocks, and revenue tracking.
** Set up confidential agreements and ensure all company, safety, credit, and privacy policies are adhered to.
** Coordinate and monitor VIP and complimentary room procedures as per company standards

Qualifications needed:

** Education: University degree or diploma in Hospitality, Business, Marketing, or a related field preferred.
** Experience: Minimum 2 years in a hotel sales, event coordination, or reservations role in an international hospitality environment.
** Languages: Excellent written and spoken English and Georgian required; additional languages are a plus.

Technical Skills:

** Proficient in Opera Cloud, MS Office Suite, and CRM/sales systems.
** Strong understanding of group sales processes, hotel operations, and event planning.

Personal Attributes:

** Strong organizational and multitasking skills with attention to detail.
** Excellent interpersonal, written, and verbal communication skills.
** Ability to work both independently and as part of a collaborative team.
** Confident, proactive, and client-oriented with a strong sense of responsibility and integrity.
** Willingness to work flexible hours based on business needs.
