We are looking for an Administration Specialist to be part of our journey in transforming operational support into a true driver of business success.
Why We Need You:
The Administration Specialist will be responsible for managing company-rented apartments, including finding accommodation for employees for individual and/or shared purposes. Additionally, the role involves coordinating staff transportation during late/early hours. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with various departments to ensure employees have suitable living arrangements and transportation.
What You`ll Be Doing:
** Identify and secure suitable accommodation for employees, both individual and shared, based on their needs and preferences.
** Negotiate lease terms and conditions with landlords and property managers to ensure favorable agreements for the company
** Coordinate with employees to understand their accommodation requirements and preferences.
** Maintain accurate records of all rental agreements, leases, and related documentation.
** Monitor and manage the budget for company-rented apartments, ensuring cost-effective solutions
** Address and resolve any issues related to accommodations, including maintenance requests and disputes
** Establish and maintain relationships with real estate agents, property managers, and other vendors
** Collaborate with real estate agents to find suitable properties and independently conduct searches and negotiations as needed
** Coordinate transportation for staff during late/early hours. Work with transportation vendors to create schedules and routes. Follow up to ensure timely and efficient transportation services
** Ensure all accommodation and transportation services comply with local regulations and company policies.
** Prepare regular reports on accommodation status, transportation logistics, expenses, and other relevant metrics
** Assist in Office Administration duties, including matters involving building administration and other facilities maintenance related duties
What You Bring to the Team:
** Bachelor`s degree in any field.
** Minimum of 2 years of experience in administration, real estate, property management, or transportation coordination.
** Strong organizational and multitasking abilities.
** Excellent communication and negotiation skills
** Proficiency in Microsoft Office Suite.
** Ability to work independently and as part of a team.
** Attention to detail and problem-solving skills

** Full-time position, Semi-shift from 1pm to 10pm Monday to Friday
