British Embassy Tbilisi is looking for a catering service provider with experience preparing a wide range of lunchtime meals. Catering service should be provided on the Embassy premises for around 20-30 employees, every day between 12pm-2pm Monday to Friday (excluding Embassy Public Holidays). However, the number of staff member varies on daily basis and cannot be guaranteed.
The lunch should offer a combination of hot and cold meals, including the following:
** Meat and vegetable main dish
** Soup
** Sandwiches
** Salads
** Dessert
On request it might be required to tailor the meals to specific dietary requirements. Embassy has a fully equipped semi-commercial kitchen and canteen style dining area. Service provider will require to leave kitchen clean and tidy by 5pm. The Embassy kitchen will be available from 09:00-17:00. The Embassy will cover all costs for utilities, as well as all necessary utensils. Shortlisted candidates will have the opportunity to visit the kitchen and canteen areas in advance of being invited to present samples of four different types of meals: hot meat main dish, soup, sandwich, and salad.
Meals must be prepared using fresh ingredients. The price of the leftover meals should be reduced when they are served the following day and recycled food/meals should be marked as such. The company should specify how they plan to deliver the service e.g. buffet style, ready-prepared measured meal sets etc.
The caterer may also be requested to provide catering (tea/coffee/biscuits) for official meetings and events with prior notice. Details of such events will be communicated and agreed in advance.
Mandatory requirements:
** Languages: Conversational English, Georgian
** Payment: both Card and cash payment should be available.
Documents to include:
** Business registration certificate
** One week sample Menus (including price per meal) including coffee and tea.
** Copies of relevant food hygiene and food preparation certificates
** 2 References (if available)
** Number of catering staff and their CVs. Subject to Embassy Security check.
Contract
The agreement between the Embassy and the successful bidder will be signed for the initial period of 1 year with the possibility of further extension. The Embassy will have the right to terminate the contract prematurely if the service provider does not perform to the agreed standards and Key Performance Indicators (KPIs).
Key Performance Indicators:
1. Food costs within pre-agreed range.
2. Quality of food service is to an acceptable standard (fresh/good quality food)
3. Food Hygiene: meet acceptable standards when handling food to ensure that it is safe to eat:
** Food is safe for consumption and no foreign objects are found in the food.
** Catering staff wear protective clothing.
4. Food Storage: food is sufficiently stored and kept at the correct temperature in the right condition.
5. Cleaning: Kitchen, working area is clean and left in a tidy condition at the end of each working day.
6. Canteen staff act in a professional manner.
7. Agreed canteen opening hours are adhered to.
