Job Summary:

We are seeking an organized and detail-oriented Project Coordinator to support the planning, execution, and delivery of design project. The role involves coordinating between internal teams, subcontractors, suppliers, and clients to ensure all project activities are completed on time, within scope, and in compliance with quality and standards. This position also plays a key role in managing project documentation, maintaining accurate records, ensuring compliance with company and Procore standards, supporting budget oversight, and assisting with risk management activities.

Responsibilities

1. Project Planning & Coordination

** Assist in developing project schedules, budgets, and work plans in collaboration with the project manager.
** Coordinate and track project milestones, deliverables, and deadlines.
** Maintain and update project documentation.
** Update, record, and archive project participants` contact information.

2. Communication & Liaison

** Act as one of the primary point of contact for project-related communications between internal teams, contractors, suppliers, and clients.
** Facilitate meetings, prepare agendas, and distribute meeting notes.
** Serve as liaison for tender proposals by gathering, compiling, and uploading required documents.
** Ensure all stakeholders are informed about project progress, changes, and requirements.

3. Document & Data Management

** Review contractor documents for compliance with digital platform standards, assign status, communicate required changes, and archive electronically.
** Manage proper document flow in digital platform for all project files (correspondence, drawings, reports) and archive by project stage.
** Check contractors` daily reports for compliance with company standards, request corrections if necessary, and archive.
** Conduct meetings and workshops on company document management standards.

4. Quality & Compliance

** Support quality control checks to ensure design work meets specifications and standards.
** Help monitor compliance with regulations and company policies.
** Maintain records of inspections, permits, and approvals.

5. Budget & Cost Management Assistance

** Support the project director in preparing detailed project budgets, cost estimates, and forecasts.
** Assist in tracking project expenses and monitoring them against the approved budget.
** Help prepare and review project-related invoices, change orders, and contractor payment requests.
** Identify potential cost-saving measures and communicate them to the project manager.

6. Risk Management

** Support the identification, assessment, and mitigation of project risks and issues.
** Work with the project director and team members to develop risk mitigation strategies and contingency plans.
** Monitor risk factors throughout the project lifecycle and escalate critical issues to the project director for timely resolution.

7. Site Support & Reporting

** Periodically visit project sites to monitor progress and resolve coordination issues.
** Assist in tracking daily activities, delays, and incidents.
Prepare and distribute progress reports to management.

Qualifications & Skills:

** Bachelor`s degree in Construction Management, Civil Engineering, Architecture, or a related field.
** Minimum 2-3 years` experience in construction projects coordination or similar role.
** Strong knowledge of construction processes, materials, and standards.
** Experience with Procore or similar construction management platforms.
** Excellent organizational, communication, and multitasking skills.
** Proficiency in MS Office and project management software (e.g., MS Project).
** English — fluent
** Russian — desirable
