We are seeking a detail-oriented and proactive Operations Coordinator to support the Operations departments with administrative work. This role involves assisting with data entry, system monitoring, document management, and providing essential administrative support to ensure smooth and efficient workflows across departments.

What will I be doing?

As an Operations Coordinator supporting the Operations Director of Hilton Batumi, you will play a key role in ensuring the smooth and efficient functioning of daily operations. You will coordinate communication across departments, manage important data entry tasks, assist with document processing, and monitor compliance with operational standards. Your proactive approach will help streamline workflows, support team effectiveness, and contribute to the overall success of the operations department.

Kitchen Operations:

** Assist with data entry in the Materials Control (MC) program under the Chef`s guidance.
** Conduct daily checks of kitchen spaces using the Digital HACCP system; accurately record and report statuses.

Engineering Operations:

** Manage and respond to incoming emails related to engineering matters.
** Assist with invoice receipt and processing, including preparing purchase orders and coordinating payments with the finance department.
** Support contract management by extending, concluding, and coordinating contracts with all relevant parties.
** Enter data into the Light Stay system with guidance provided.
** Extend contracts, work on concluding new ones, namely, support of the process, agree on the contract with all parties

What are we looking for?

We are looking for a motivated individual who thrives in a fast-paced environment and enjoys supporting a team through efficient administrative work. The ideal candidate is eager to learn, adaptable to new systems and processes, and takes pride in delivering accurate, timely results. You should be comfortable managing multiple priorities while maintaining excellent communication and organizational skills.

Key qualities include:

** Strong attention to detail and problem-solving skills
** Ability to work independently and as part of a team
** Positive attitude and willingness to take initiative
** Reliability and professionalism in handling confidential information
** Fluency in English language
** Basic computer skills and willingness to learn new software (training will be provided)
** Experience in contract management or administrative support is a plus but not mandatory
