Responsibilities:

Office Administration & Operations

** Organize office layout and order stationery and equipment
** Maintain office condition and arrange necessary repairs
** Organize and optimize office operations and procedures
** Coordinate with the IT department on all office equipment
** Provide general administrative support to visitors

Finance & Vendor Management:

** Ensure all invoices are processed and paid on time
** Manage contracts and price negotiations with office vendors, service providers, and landlords
** Oversee the office budget and ensure accurate and timely reporting
** Liaise with facility management vendors, including cleaning, catering, and security services

Travel & Accommodation Management:

** Arrange business travel, including booking flights and train tickets
** Coordinate hotel reservations and accommodations
** Support employee relocation, including apartment search and rental arrangements
** Liaise with travel agencies, landlords, and related service providers

HR & Employee Support:

** Partner with HR to update and maintain office policies
** Assist in the onboarding process for new hires
** Address employee queries related to office management (e.g., stationery, hardware, travel arrangements)

Events & Culture:

Plan and coordinate in-house and off-site activities, such as parties, celebrations, and conferences

Skills & Competencies:

** Fluent in English (written and spoken) is a MUST
** Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
** Knowledge of Office Administrator responsibilities, systems and procedures
** Proficiency in MS Office (MS Excel, in particular)
** Excellent time management skills and ability to multitask and prioritize work
** Attention to detail and problem solving skills
** Excellent written and verbal communication skills
** Strong organizational and planning skills in a fast-paced environment
** A creative mind with an ability to suggest improvements
** University degree; additional qualification as an Administrative assistant or Secretary will be a plus

Work Hours & Benefits:

** On-site only
** Work hours 11:00-20:00 (from monday to friday 5/2)
** Location: Tbilisi, Rustaveli avenue area
** Basic salary starting from $800 (3 months probation period)
