SOS Children`s Villages Georgia is inviting applications for the position of Project Administrative Assistant (100%), based in Tbilisi.

SOS Children`s Villages Georgia has been operating since 1989, working to improve the well-being of children at risk of losing, or deprived of, parental care. The organization`s mission is to ensure that every child grows up in a safe and nurturing family environment and is supported to become a self-reliant and independent adult.

The organization delivers integrated programmes across prevention, child protection and safeguarding, gender equality, and advocacy. Through its Family Strengthening Programmes, SOS supports vulnerable families to prevent child-family separation, while its Alternative Care Programmes provide quality, family-like care for children and youth without parental support, equipping them with essential life, social, employability, and entrepreneurial skills.

Operating across six regions of Georgia, including Tbilisi, SOS Children`s Villages Georgia reaches over 1, 500 children and caregivers monthly and provides long-term care and support to more than 120 children and young people.

The organization`s target group is defined as:

** Children and families living in poverty and/or at risk of losing parental care, whose basic material, emotional, health, and educational needs are insufficiently met due to socio-economic vulnerability, limited caregiver capacity, or adverse living conditions;
** Children deprived of parental care, who are living without adequate parental support and require alternative, family-based care, protection, and long-term developmental support.

Project Information:

Project title: VIBEs for Youth II: Vision building, Identity, Well-being and Employability for Youth.

The main goal of the project is to empower young people by strengthening their social, life, vocational, employability, and entrepreneurial skills, thereby increasing their competitiveness in the local labour market. In parallel, it enhances the institutional capacity of state institutions and civil society organizations (CSOs) to deliver inclusive, responsive, and sustainable services tailored to the needs of vulnerable and disadvantaged youth at the community level.

The project is implemented through a regional partnership of SOS Children`s Villages in Georgia, Armenia, Belarus, and Kyrgyzstan.

Multi-country project will be implemented in partnership with SOS Children`s Villages Armenia, SOS Children`s Villages Kyrgyzstan and SOS Children`s Villages Belarus with financial support from BildungsChancen gGmbH and SOS-Kinderdörfer weltweit e.V.

Duration: 44 Months
Targeted locations: Tbilisi and Kvemo Kartli regions (Marneuli and Bolnisi Municipalities).

Purpose of the Position:

The Administrative Assistant contributes to the efficient delivery of project activities by providing comprehensive administrative and logistical support, ensuring proper documentation, coordination, and compliance with organizational procedures and donor requirements.

Major Responsibilities:

The responsibilities include, but are not limited to:

** Provide administrative and logistical support for the implementation of project activities, including trainings, workshops, and meetings;
** Maintain and update project documentation (both electronic and hard copy) in an organized and timely manner;
** Participate in project team meetings, review meeting notes, and support follow-up actions and planning processes, as required;
** Support the Project Manager with administrative tasks, including documentation, translation, database management, and day-to-day communication;
** Support procurement processes in compliance with internal procedures and donor requirements, ensuring accuracy and timeliness;
** Administer and maintain contracts with service providers and experts, ensuring proper documentation and filing;
** Process and submit financial documentation, including scanning vouchers and supporting procurement documents, to the Project Finance Manager;
** Perform other duties as assigned by the Project Manager.

Qualification and Competencies Required:

** Bachelor`s or Master`s degree in Social Sciences or a related field;
** Excellent communication and interpersonal skills;
** Strong facilitation and coordination skills, including experience in organizing events and meetings;
** Ability to work both independently and as part of a team;
** Strong critical thinking and problem-solving skills;
** Excellent written and spoken Georgian and English;
** Strong digital literacy and ability to effectively use a range of office and communication tools;
** Strong organizational and time management skills, with the ability to meet deadlines and deliver high-quality outputs;
** High attention to detail and accuracy in planning and implementation;
** Flexibility and adaptability in managing changing priorities;
** Strong teamwork and collaboration skills;
** High level of integrity and commitment to the principles and values of SOS Children`s Villages Georgia.

Management and Reporting:

The Administrative Assistant will report to the Project Manager and support project implementation through administrative and operational coordination, working closely with the project team members, partner organizations, and the National Programme Development Department.
