octa announces a vacancy for the position of Project Manager.
Position Objective
The Project Manager acts as a bridge between the client, external parties, and the site team (Manager, Supervisor, Coordinator), ensuring the systematization of information flow and unified project management.
The Project Manager is responsible for the full project cycle — from planning to project handover. He/she serves as the sole point of contact for the client, ensuring the interpretation of client requirements, coordination of all stakeholders (architects, engineers, structural designers, consultants, subcontractors), and control of the budget and schedule.
The Project Manager works closely with the Site Manager, Site Supervisor, and Site Coordinator to ensure that on-site work is carried out in accordance with project objectives, quality standards, and deadlines. They are accountable to the Technical Director and/or the company`s management.
The Main Responsibilities
Project Planning (excluding the construction schedule) and Implementation Organization:
** Identify client requirements and project needs; prepare the project Scope of Work (SOW)
** Take over the project at the contract stage and manage it in full compliance with the contract
** Form the project management team using internal company resources and/or external resources (subcontractors, consultants); prepare the project management matrix with designated contacts and responsible persons, to be approved by relevant department heads
** Develop an action plan for project implementation at all stages, updating weekly as the project progresses
** Coordinate the development of the construction schedule and monitor its compliance
Budget Control and Management:
** Coordinate the process of developing the project budget, manage the approved budget, and monitor expenses
** Conduct client billing procedures according to pre-agreed terms
** Identify financial risks (e.g., payment delays) and take mitigation measures in agreement with relevant parties
Project Documentation:
** Manage all types of project documentation (contracts, addendums, plans, reports, changes), including creation, review, and approval
** Ensure receipt, organization, and distribution of project and permitting documentation, including permits, laboratory or interim inspections, and other necessary documentation
** Contract management: monitor fulfillment of contractual terms, send notifications of changes, and prepare additional agreements as needed with the involvement of the company`s legal department
Project Progress Management and Control:
** Evaluate project progress in terms of schedule and budget compliance and take immediate corrective action if necessary
** Identify, analyze, and mitigate project risks (technical, financial, organizational) in coordination with relevant parties
** Review reports prepared by the Site Manager, Site Supervisor, and Site Coordinator (e.g., daily reports, Form 2, Procurement Plan) and respond promptly to identified issues (e.g., material shortages, delays)
Communication and Reporting:
** Maintain continuous communication with the client as the sole point of contact; translate client requirements, changes, and expectations and inform all involved parties with relevant instructions
** Coordinate all stakeholders (architects, engineers, structural designers, consultants, subcontractors, construction/technical department) to ensure timely information exchange and response
** Prepare regular status reports (weekly internal reports, organize meetings, submit project progress reports to the client, and provide monthly progress reports to the client and/or company management)
Information Exchange and Coordination with the Site:
** Work closely with the Site Manager to communicate client requirements and project goals and receive updates on ongoing site work
** Review daily/weekly reports prepared by the Site Manager, Site Supervisor, and Site Coordinator (e.g., material shortages, delays), investigate causes, coordinate with relevant parties (procurement, suppliers, subcontractors), and resolve issues
** Conduct regular site visits to assess work progress, quality, and adherence to the schedule
Quality and Safety Management:
** Respond promptly to quality control reports and coordinate corrective actions with the Site Manager and Technical Director
** Coordinate responses to safety and legal compliance requirements and provide necessary instructions to the Site Manager
** Verify quality and standards compliance before site handover; ensure site acceptance by the Site Manager before delivery to the client
Project Handover:
** Manage the project completion stage, including site handover to the client, preparation of all required documentation (as-built drawings, quality reports, certificates)
** Collaborate with the Site Manager to organize the handover process
** Prepare the final report on project execution and results
Accountability
** The Project Manager is accountable to the Head of Project Management
** Responsible for the timely, quality, and budget-compliant execution of the project in accordance with contract terms and client expectations
** Ensures compliance with quality, safety, and legal requirements on-site until project handover
** Ensures proper handover of the site for warranty service in accordance with the established TBI procedure
Qualifications and Education
** Higher education in Civil /Construction Engineering
** Minimum of 3 years of work experience in the field of construction as a Project Manager
** Knowledge of construction norms and regulations
** Proficiency in MS Office and document management systems
